Most office moves that go wrong fail on IT: the internet line isn't live, Wi-Fi doesn't reach the meeting room, or nobody can print. Whether you're setting up in Talegaon MIDC, Chakan, PCMC or anywhere in Pune, work through these steps in order.
1. Plan 6–8 weeks before move-in
- List every user, their role and the devices and software they need
- Get the floor plan and mark desks, meeting rooms, printers and the network rack location
- Decide what moves from the old office and what needs to be bought
- Set a budget for hardware, licences, cabling and setup
2. Book internet connectivity first
Business internet lines often have the longest lead time — especially in newer industrial areas. Order early and consider a second connection from a different provider as a backup, so a single outage doesn't stop the office.
- Confirm installation date in writing
- Ask for a static IP if you need remote access or a VPN
- Plan automatic failover between the two lines on your router or firewall
3. Network, cabling and Wi-Fi
- Structured cabling to every desk, printer and access point — before furniture goes in
- A small rack for the router, firewall, switches and NAS
- Business-grade Wi-Fi access points placed for full coverage, not one consumer router
- A separate guest Wi-Fi network for visitors
- A firewall / UTM to protect the network
4. Computers, printers and peripherals
- Procure laptops and desktops to a standard specification
- Configure Windows, updates, software and security before delivery
- Set up network printers so everyone can print from day one
- Record serial numbers and warranty dates for every device
5. Email, Microsoft 365 and file access
- Create user accounts and assign Microsoft 365 or Google Workspace licences
- Check SPF, DKIM and DMARC records so emails don't go to spam — see our email deliverability guide
- Set up shared mailboxes, Teams and shared folders on OneDrive / SharePoint or a NAS
6. Security and backup
- Endpoint security on every device
- Multi-factor authentication on Microsoft 365
- Automatic, monitored backup of important data — and a test restore
- Documented admin passwords stored securely, not on a sticky note
7. Move-in day and the first week
- Test internet, Wi-Fi, printing and email from every desk before staff arrive
- Have an engineer onsite on day one for quick fixes
- Hand over network diagrams, passwords and vendor contacts
- Put an AMC or managed IT agreement in place so support continues after setup
